Entertainment Legal Secretary

International law firm’s prominent Los Angeles office is currently seeking an Entertainment Legal Secretary to join their team.  The Legal Secretary (The Legal Support Specialist) will support up to three or more attorneys, including the Chairman of the West Coast Entertainment & Media Practice, in an executive assistant/secretarial capacity.  Legal Support Specialists will provide a wide range of administrative, clerical and document processing services in the Entertainment practice department. This is an in-office position, not hybrid.  Flexibility to work overtime as needed.

Legal Support Specialist Duties & Responsibilities:

  • Manages phone lines for supported attorneys, fielding calls, scheduling and initiating conference calls and conveying messages as necessary.  Communicate with clients, opposing counsel, courts, and liaisons.
  • Processes time entry, opens new matters, drafts engagement letters and audits responses
  • Makes reservations, processes reimbursement expenses, maintains calendar, collates information and other administrative duties, as needed by the department
  • Conducts research
  • Maintains legal files (both paper & electronic), organize and file documents in designated order, as well as prepare, keyboard, enter, proofread and process legal and administrative correspondence.
  • Manages document deliveries and tracks final executed documentation
  • Collaborates with team members, providing assistance when time permits

Qualified Legal Support Specialist/Legal Secretary candidates will have:

  • Familiarity with the practice of entertainment law, including motion picture, television, music, and digital transactions is a plus.
  • Computer proficiency in Microsoft Office Suite applications including Word, PowerPoint, Excel and Outlook, as well as document management and other office technologies.
  • Strong ability to maintain high standards of professionalism, including the ability to maintain confidentiality (both client and internal), use good judgment and anticipate needs of attorneys with high volume practices.
  • Strong attention to detail, organizational skills and ability to manage time effectively.
  • Position also requires the ability to work under pressure to meet strict deadlines.
  • Bachelor’s Degree or equivalent experience is preferred
  • Minimum 7 years of experience, working in a business law practice with exposure to entertainment law
  • Computer proficiency in Microsoft Office Suite applications including Word, PowerPoint, Excel and Outlook, as well as document management and other office technologies and experience with e-filing
  • Exceptional computer skills with the ability to learn new software applications quickly
  • Knowledge of DocuSign and Concur preferred

Ella graduated from Loyola Marymount University in May of 2022 with a Bachelor’s in History and Spanish. As an undergraduate, Ella loved to learn about the intersectionality of the past and present through culture, law, language, and the arts.

Shortly after graduation, Ella moved to a small town in Spain, Segovia; about an hour outside of Madrid. She taught English in a classroom setting to elementary and middle school aged students across five small, rural pueblos. After moving back to LA a year later, Ella expressed an interest in recruiting and law, and was connected with Mitch.
