Respected law firm with offices across California is currently seeking an Associate Legal Administrator to join their Los Angeles office and provide critical support to law firm’s Executive Director in managing legal operations and strategic initiatives.

Job Responsibilities
- Executive Director and Project Management Support
- Manage special projects and firm-wide initiatives, coordinating resources, deadlines, and ensuring deliverables are met
- Assist with planning and executing firm events and business meetings
- Prepare meeting materials, including agendas and minutes, and follow-up on action items
- Conduct research, analyze data, and prepare reports to support strategic decision-making
- Create and maintain financial spreadsheets for reporting and analysis
- Prepare financial reports to support the Executive Director and firm leadership
- Assist with applications for business insurance renewals and selection of employee benefits
- Help maintain annual corporate records, including obtaining required signatures from shareholders
- Facilitate effective communication between the Executive Director, Firm Managing Partner, Office Managing Partners, Partners, Department Heads, and Managers
- Draft, edit and distribute high-level correspondence, legal documents, and presentations
- Act as a liaison between internal departments and external stakeholders, skillfully managing expectations among various parties
- Develop and maintain efficient systems for tracking and prioritizing tasks across departments and projects
- Conduct periodic assessments of office needs to ensure optimal functionality
- Identify and resolve conflicts in scheduling
- Stay updated on emerging technologies, including AI and best practices in legal administration
- Track and upload confidential information to SharePoint Intranet Site
Qualifications
- Minimum of 3 years of experience in a law firm or professional services environment
- Advanced proficiency in Microsoft Office Suite
- Proven ability to maintain confidentiality and handle sensitive information
- Bachelor’s degree
- Strong communication and collaborative leadership skills
- Excellent written, verbal, and interpersonal skills
- Project management and analytical skills
- Ability to anticipate needs and proactively solve problems
- Familiarity with legal terminology and documentation
